Welcome to OneSpace (available on Web at mangio.in and as the OneSpace Android Mobile Application). We are committed to protecting your privacy and ensuring transparent handling of your personal information.
1. Overview & Scope
This Privacy Policy explains how OneSpace ("we", "us", or "our") collects, uses, stores, and protects information when you access or use our library management software, mobile application, attendance verification portals, and student portals.
By downloading, registering, or using OneSpace, you consent to the practices described in this policy. If you do not agree with this policy, please do not use our application or web platform.
2. Information We Collect
A. Account & Profile Information
When library owners or students register, we collect names, email addresses, phone numbers, library/workspace names, and encrypted password credentials.
B. Student & Seating Allocation Data
Assigned seat numbers, shift timings, admission dates, billing cycle start/end dates, monthly fee records, and payment history.
C. Attendance Records & Timestamps
Check-in time, check-out time, attendance status (Present, Missed Exit, Expired), and shift compliance details generated through QR verification.
D. Technical & Device Data
Device model, operating system version, Firebase Cloud Messaging (FCM) push tokens, and anonymous crash diagnostics for performance optimization.
3. Device Permissions & Justification
The OneSpace Android application requests only the minimum permissions necessary to deliver core functionality:
Purpose: Strictly used to scan QR codes on Smart Seat Passes and Master Entrance Gate Passes. We never take photos, record videos, or upload camera images to our servers.
Purpose: Used solely during the instant QR scan to verify physical presence within the library geofence boundary (preventing proxy attendance). We do not track your background location.
Purpose: To deliver essential transactional alerts such as attendance confirmations, fee payment due reminders, shift expiry notices, and library announcements.
Purpose: Allows library owners to save generated Seat QR Passes, Master Gate QR Cards, and invoices to their device gallery or files when requested.
4. How We Use Your Information
- To allocate and manage study library seats, shift schedules, and student admissions.
- To verify real-time check-in and check-out via dynamic QR codes.
- To track fee billing schedules, due alerts, and payment verification.
- To send automated SMS, Email, and Push Notifications regarding critical operational updates.
- To prevent fraud, duplicate registrations, unauthorized seat usage, or proxy attendance.
- To maintain system integrity, diagnose server issues, and secure our cloud infrastructure.
5. Data Sharing & Third-Party Services
We do not sell, rent, or trade your personal data to third parties or advertisers.
We share data only with verified infrastructure and service partners strictly necessary to run our platform:
• Google Firebase (FCM): Used for secure mobile push notification delivery.
• MongoDB Atlas Cloud: Secure database storage with enterprise-grade encryption at rest and in transit.
• Razorpay: Encrypted payment gateway processing. OneSpace does not store your credit/debit card numbers or CVV.
• Cloudflare: Web application firewall, DDoS protection, and SSL encryption.
6. Data Retention & Account Deletion (Google Play Compliance)
We retain user information only for as long as necessary to provide library management services or comply with legal obligations:
- In-app Notifications: Automatically pruned and permanently deleted after 5 days.
- Attendance Logs: Retained for active billing periods or up to 90 days.
- User Account Deletion: You have the right to request permanent deletion of your account and all associated data at any time.
How to request complete data deletion:
1. In the OneSpace App / Web Portal: Navigate to Settings -> Account -> Delete Account.
2. Or email our Data Protection Officer at mangiosystem@gmail.com with your registered email address. All your data, student records, and attendance logs will be permanently purged within 48 hours.
7. Data Security
We implement industry-standard administrative, technical, and physical safeguards to protect your personal information against unauthorized access, loss, alteration, or disclosure. All data transmissions are encrypted using TLS 1.3 / HTTPS encryption.
8. Children's Privacy
OneSpace does not knowingly collect personal information directly from children under 13 years of age without parental or institutional consent. Student profiles are created and managed by authorized library owners or educational administrators.
